One Email Address. Same People.

We hear a version of this a few times a week: “I don’t know who to send this question to.”

Fair. Over the course of one tax return you might hear from four or five different people at WCG, each from a different name in your inbox, and then you are left guessing which one wants your signed engagement letter and which one to ask about a 1099. That guessing is on us, not you.

Starting October 21, each of our tax teams, what we call “Pods,” has its own email address. Yours will look something like [email protected], and it will arrive in your inbox as “Tina’s Team | WCG CPAs & Advisors.” One place to write from and one place to write to.

Why We Work in Pods

A lot of CPA firms run a pool, especially at the Staff Accountant level. Same thing for large law firms. Your tax return goes into a queue and whoever is free picks it up, which means it might be a different person every year and nobody really knows you.

We run Pods instead with a total of 9 tax Pods. A Pod is five or six people who work together all the time, led by a Pod leader we call the Podfather, a title that has aged strangely given that all but one of ours are mothers, but it’s a nice play on The Godfather. Each Pod also has a Capo, Italian for captain, who is second in command and often the person reviewing your tax return. Yes, more play on words. Hey, taxes are boring- we need to have some fun here.

Ok, back to being serious. The point is continuity. The same small group handles your tax return year over year. They know your entities, your rentals, your nuances, your must-haves and can’t-stands, and the conversation you had last March. That familiarity, that intimacy, is worth more than raw throughput, and it is why we build this way.

Sidebar: Pods are a bit more expensive to run. Think of two 6 person CPA firms combining into one- they likely can remove at least 1 person from payroll.

Why Client Communication Involves Several People

A tax return is not a one-person job. Sure, you can find the solo operator working out of their basement if that is what you want. We think a team does it better, and here is who does what.

Our Support team starts and finishes the process. They gather your documents, launch the engagement, and at the end they handle e-file authorization and your tax prep fee. They have always worked from a shared inbox. Now they work inside your Pod’s inbox instead.

If you own rentals, our Rental Expert and Tax Strategist (“RETS”) Pod handles the rental activity. Cost segregation, material participation, short-term rental loophole, real estate professional status. That is deliberately a specialist group rather than something we ask every preparer to be equally good at. In other words, it is better to hyper train and develop 10-11 people than 55.

A preparer completes your tax return. Your client manager, either the Capo or the Podfather a.k.a. Pod Leader, reviews it. Your preparer usually delivers it. Support closes it out. Yay, until next year!

Sidebar: All WCG preparers have at least 3 years or more experience and are credentialed as a CPA, Enrolled Agent or Chartered Accountant. The CA is the CPA equivalent across India, Australia, South Africa and the UK, and it is what most of our India team members hold. Fun fact: the Scots invented it. Edinburgh got the royal charter in 1854, which is where “chartered” comes from, and England did not follow until 1880. We are very picky about who we ask to join our team, even if you are the OG from Scotland.

All of it reaches you from one address starting October 21.

New Software Behind the Scenes

We are moving our client email off Outlook and onto a platform called Front. You will not notice it directly, which is the point. What it changes is how well we hand things off internally.

If you write to your tax Pod with a bookkeeping question, we do not simply forward the email or reply-all and add your Accounting Services team member.  Rather, we move the message to Accounting Services, tag the responsible person, and it keeps going. Same thread, same conversation, no forwarded chain and no “please resend this to someone else.” Front lets us do that cleanly in a way Outlook never could.

Sidebar: Outlook is a decent email client, no doubt, but it has limitations especially across teams. Competition validates the product, right? Sidebar to the sidebar: Front is expensive. For our 110 person team, we are looking at around $80,000. For email! But it is critical for our client satisfaction and our team’s internal communications.

Our Accounting Services team keeps its own inbox, because they work with you all year on a different rhythm and folding them into tax prep would create one enormous mailbox that serves nobody. But you no longer have to know which one to use. Write to your Pod and we will route it.

Front sits on top of our existing Microsoft 365 system rather than replacing it, carries an annual SOC 2 Type II security audit, and encrypts everything in transit and at rest. Sensitive documents should still travel through ShareFile rather than email, which has always been our guidance and has not changed.

Pod Assistants and Daily Communication

This is the part we are most excited about.

We are adding a new role called a Pod Assistant, and there will be one or two attached to every Pod. Their job is to read every message that arrives, get it to the right person via tagging (or perhaps a direct call: “Hey, Bob has a question about his tax return. Email tagged to you.”), and handle the things that do not need a tax professional.

client communicationsThat last part is where you will feel it. Pod Assistants handle ShareFile password resets, adding an email address to your ShareFile account, address changes, tax return reprints, securely sending your tax return to a lender once you have approved it, e-signature resends, billing questions, scheduling and rescheduling your tax return review appointment, proof of filing, paper filing instructions, and the very reasonable question of where your tax return currently sits. And all the crud we couldn’t immediately think of when writing this.

Those are the requests that used to land in a tax accountant’s inbox during the last week of March and wait. Now they get answered by someone whose actual job is answering them. Daily.

Your tax return preparer and client manager will continue to read and respond to emails on Mondays and Thursdays. That has not changed, and it is deliberate. Tax work requires long stretches of uninterrupted focus, and a preparer checking email every twenty minutes is a preparer making mistakes. The Pod Assistant covers the rest of the week, which means the routine stuff now gets handled daily instead of waiting for Thursday.

What Does Not Change

Every email is signed by an actual person. No no-reply addresses, no ticket numbers. If Tina writes to you, it reads “Tina” in the signature complete with direct phone number should you want to call.

Same CPA, same Pod, same people who already know your situation.

And when someone is out on vacation or Family Leave, a teammate, or what we call “Podmate,” can pick up your question instead of it sitting in one person’s inbox waiting for one person to surface.

Still a Lot of People

It is a lot of people. If Amanda’s team set up your LLC or Michelle opened your payroll accounts, those came from somewhere else too, and they will continue to.

We have not solved every version of this. What we have fixed is the part that caused the most confusion, which is the tax return process itself. Five emails during tax season now come from one address, in one conversation, from a team you can name.

Frequently Asked Questions

Do I still have my own Client Manager?

Yes. Nothing about your Pod changes. Same tax accountant, same client manager, same Podmates who already know your situation. The only change is the email address they write from.

Who am I actually talking to when I email [email protected]?

Whoever on Tina’s Pod is best suited to answer. Typically, your Client Manager, tax return preparer, or the Pod Assistant. Every reply is signed by a real person with a direct phone number, so you always know who responded. If you need a specific person, say so in the message and we will get it to them.

Can I still email my tax accountant out of habit?

No problem, and nothing breaks. We move it into the Pod inbox and reply from there, so it lands in the same place it would have anyway. We know you will sometimes reply to an old thread or use the address you have always used. The Pod address is just the more direct route.

Why do preparers only answer email on Mondays and Thursdays?

Because tax work needs long stretches of uninterrupted focus, and a preparer checking email every twenty minutes is a preparer making mistakes. That schedule has been in place for a while and is not changing. What is changing is that a Pod Assistant now reads your Pod’s inbox every day, so routine requests no longer wait for Thursday.

What happens if I send something to the wrong team?

Nothing bad. If you send a bookkeeping question to your tax Pod, we move it over to Accounting Services and tag the right person. Same conversation, no forwarded chain, and nobody asks you to resend it somewhere else.

Does Accounting Services have its own address?

Yes. Our bookkeeping team works with you all year on a different rhythm, so they keep a separate inbox. You do not have to remember which one to use. Write to your Pod and we will route it.

What is a Pod Assistant, and will one be answering my tax questions?

No. Pod Assistants read incoming messages, route them to the right Podmate, and handle administrative requests: ShareFile resets, address changes, scheduling, reprints, billing questions, e-signature resends, proof of filing, and tax return status. Anything involving your actual tax situation goes to your preparer or client manager.
